How to automate WhatsApp Business messages

An agent that answers your WhatsApp Business messages at any hour from your real prices, stock and calendar, takes orders and bookings in the chat, and hands the conversation to your team when a person should take over. Below: real examples, the steps to set it up, how it connects to the tools you use, and the pitfalls.

How it is set up

  1. Register a WhatsApp Business number through an official Business Solution Provider or Meta's Cloud API, and set up a verified business profile before any automation goes live.

  2. Subscribe to the messages webhook; on each inbound message, load the contact record and order or case history from the CRM so the agent answers with context.

  3. Generate the reply with an LLM constrained to an approved knowledge base (prices, opening hours, service list), with rules for quotes: the agent may give ranges from a price table, not free-form figures.

  4. Apply hand-off rules: a human is alerted for complaints, payment disputes, or after two failed answers; the chat transfers with a summary.

  5. Send outbound follow-ups only with approved message templates when outside the 24-hour customer service window; respect opt-out keywords such as STOP immediately.

  6. Log every message and outcome to the CRM, and review weekly: resolution rate, hand-off rate, quote-to-order conversion, and any policy errors found in sampled chats.

How to automate WhatsApp business messages

Use the WhatsApp Cloud API to send template messages (order updates, appointment reminders) and to receive replies through a webhook. The entry point is developers.facebook.com. Free-text replies are only allowed inside the 24-hour customer service window.

How to automate WhatsApp messages with AI

Put an LLM between the inbound webhook and the reply, limited to an approved knowledge base and hand-off rules. Log each reply and review a sample each week, because wrong answers reach customers directly.

How to automate WhatsApp messages from Google Sheets

Read the rows from Google Sheets with the Sheets API (developers.google.com, then send one approved template per row through the Cloud API, and write the send status back to the sheet. Only message contacts who gave opt-in, and mark rows as sent so a rerun does not send twice.

How to automate WhatsApp group messages

Meta's Groups feature is documented at developers.facebook.com, which lists "Send group messages" as a feature. It has conditions: the number must be an Official Business Account, and numbers used in the WhatsApp Business app are not eligible. Check those conditions for your number before building around it.

How to automate WhatsApp status

I did not find a documented Cloud API endpoint for posting WhatsApp Status updates in the Cloud API pages I checked, so do not plan a flow around it. Use a template message to customers who opted in, which is the supported way to reach them.

AI chatbot for WhatsApp

This is the same build as the reply agent above: a Cloud API webhook, a knowledge base, a hand-off to a human, and a CRM record for each conversation. Start with one or two intents such as opening hours or order status before adding quotes or bookings.

Pitfalls

  • Template rejection and quality rating: Meta rejects vague templates and lowers the number's quality rating if users block or report it. Keep templates specific, and monitor the quality rating in the Meta dashboard.
  • Opt-in: sending promotional messages without recorded consent breaks Meta's policy and can get the number banned. Store opt-in source and timestamp for each contact.
  • Quoting errors: an LLM can invent prices. Restrict quotes to a price table and have a human confirm anything above a set value.
  • Vendor claims (79%, 90%) are self-reported and undated in part; run a 30-day baseline on your own chats before promising a result.
