AI agent for WhatsApp Business messages

An agent that answers your WhatsApp Business messages at any hour from your real prices, stock and calendar, takes orders and bookings in the chat, and hands the conversation to your team when a person should take over.

A morning with this agent
  1. Answered 34 overnight messages about prices and opening hoursDone
  2. 6 orders recorded and confirmed in the chatDone
  3. Delivery updates sent to 15 customersDone
  4. A customer asks for a bulk discountAsks a person

An example. Your agent is built around your own work.

How it works

  1. Read the message

Text, voice notes, photos, documents and shared locations all arrive. Voice notes are transcribed and photos are read, so a customer can just send a picture of the part they need.

  2. Look it up

Before answering, the agent checks your systems: the price list, stock, the customer's past orders, open appointment slots. It answers from what it finds, in the customer's language.

  3. Act in the chat

It creates the order, books the slot, sends a payment link or a PDF invoice, and confirms, without the customer leaving WhatsApp.

  4. Hand over

Complaints, price negotiations and anything outside your rules go to a person on your team, with a two-line summary so nobody asks the customer to repeat themselves.

An example conversation

An example of how a conversation runs. The grey lines show what the agent does in your systems meanwhile.

  1. CustomerHi, do you have the 20-litre water heater in white? How long is delivery to Sharjah?
  2. Checked stock in the online store: 4 in white at the Dubai warehouse. Read delivery rules: Sharjah is next working day.
  3. AgentYes, the 20-litre model in white is in stock, and delivery to Sharjah takes one working day. Would you like to order one?
  4. CustomerYes please. Can I pay when it arrives?
  5. Read the payment policy: cash on delivery allowed for orders under the limit you set. This order is under it.
  6. AgentYes, you can pay on delivery. Please send your address, or share your location here.
  7. Customer(shares location)
  8. Created the order in the store system, booked tomorrow's delivery, saved the customer in the CRM.
  9. AgentDone. Your order number is 10482 and it arrives tomorrow. I'll message you when the driver is on the way.

How it is built

The official WhatsApp Business Platform
We connect your number to Meta's WhatsApp Business Platform, the official API, after your business is verified with Meta. Unofficial tools that drive WhatsApp Web get numbers banned; we do not use them. You can often keep your current number, and we check that in the first session.
Messages reach a server you control
WhatsApp sends every incoming message to a web address (a webhook) on a server we set up for you, in the cloud or on your own premises. Each message is saved with the customer's record before anything else happens.
A language model reads, your rules decide
A large language model, the same kind of AI behind ChatGPT and Claude, understands what the customer wants. What the agent is allowed to do with that is set by your rules: which questions it answers, which orders it may take, when it must ask a person.
It can only use the actions we build
The agent does not get free access to your systems. We give it a short list of actions, such as check stock, create order, book slot, send invoice, each with limits you set. Anything outside that list, it cannot do.
Answers come from your data, live
Prices, stock, delivery times and order status are read from your systems at the moment of the question, not remembered from training. If your systems have no answer, the agent says so and passes the chat to a person instead of guessing.
Your team sees and can take over every chat
Every message and every action is logged. Staff see conversations in a shared inbox, can step into any chat, and hand it back to the agent when they are done.
Messages you send first follow WhatsApp's rules
You can reply freely for 24 hours after a customer's last message. Outside that window, WhatsApp only allows template messages it has approved, such as order updates or appointment reminders, and Meta charges for some of them by its own price list. We write and submit those templates with you.

What you can connect to it

Online store (Shopify, WooCommerce and others)
Product details and photos, live stock, new orders, order status, and reminders about unfinished carts for customers who agreed to receive them.
Accounting or invoicing software
Sends invoices and receipts as PDF, answers "how much do I owe", and sends payment reminders.
Payment gateway
Puts a payment link in the chat and confirms the order the moment the payment arrives.
Calendar or booking system
Offers open slots, books, moves and cancels appointments, and sends reminders the day before.
CRM (HubSpot, Zoho, Salesforce and others)
Creates the contact, records the conversation and the deal, and assigns it to the right salesperson.
ERP or warehouse system
Stock per branch or warehouse, delivery dates and order status for trade customers.
Google Sheets or Excel
If you have no other system, the agent reads price lists from a sheet and writes orders and leads into one.
Courier and delivery services
Sends the tracking number and tells the customer when the parcel is out for delivery.
Shared inbox or help desk
Passes chats to your team with a summary and takes them back when the person is done.
Your documents
Brochures, price lists, manuals and policies that the agent quotes from or sends as files.

Connects to your tools. You stay in control.

Works with what you have
WhatsApp Business Platform (official API), Telegram, Instagram messages, website chat, your online store, accounting software, payment gateway, calendar, CRM, ERP, spreadsheets.
A person approves what matters
Payments, orders, discounts or anything you choose wait for approval. Every action is logged.
Can run on your own servers
The agent, its data, its logs and even the language model (open models such as Llama, Qwen or Mistral) can run on your servers, so documents and customer data stay inside your network. How that works

What it does not do

  • It does not post WhatsApp Status updates. The WhatsApp Business Platform does not offer that.
  • It does not message people who never agreed to hear from you, and it does not use unofficial WhatsApp Web tools.
  • It does not make up prices, stock or delivery dates. When your systems have no answer, a person gets the chat.
  • It does not give discounts or change terms beyond the rules you set.

Questions

Is this a WhatsApp chatbot?

It does more than a chatbot. A chatbot answers questions from a script. This agent also looks things up in your systems, creates orders, books appointments and sends invoices, and it asks a person when it is unsure.

Do we need the WhatsApp Business API, or is the WhatsApp Business app enough?

The API. The app is built for a person typing on a phone; automation on top of it breaks WhatsApp's terms and risks the number. We set up the API access with you through Meta.

Can it understand voice notes and photos?

Yes. Voice notes are transcribed, and photos and PDFs are read, so a customer can send a picture of a part or a handwritten list and get an answer.

Can it send messages to many customers at once?

Only to customers who agreed to hear from you, with templates WhatsApp has approved. That covers order updates, reminders and offers to opted-in customers. Spam campaigns get numbers blocked, and we do not build them.

Does it work on Telegram, Instagram or our website too?

Yes. The same agent, with the same rules and actions, can answer on Telegram, Instagram messages and your website chat.

What happens if the AI gets something wrong?

It answers only from your data and only takes actions within the limits you set, so the damage a mistake can do is small by design. Every chat is logged, you can review them, and when a pattern of mistakes shows up we fix the data or the rule behind it.

How much does an agent like this cost?

It depends on the task and the systems it connects to. After a first call we give you a clear estimate of cost and time.
