How to automate sales follow-up

An agent that watches your CRM and sales inbox for new leads, quotes without a reply and stalled deals, drafts follow-ups in your salespeople's voice, reads the replies and writes every touch back to the CRM. Below: real examples, the steps to set it up, how it connects to the tools you use, and the pitfalls.

Public examples

Built by other companies and vendors, with figures exactly as their sources publish them. They are not our clients; follow each source for the full story.

Commio · telecommunications, United States
SalesAi's always-on voice agent calls new inbound leads to get them to finish a mandatory Know-Your-Customer survey, then passes qualified prospects to sales.
Result: 46% increase in response rate; one full headcount saved.

How it is set up

  1. Pull leads and their activity history from the CRM, and mark which ones are stale (no reply in 60 to 90 days), new, or have had a meeting already.

  2. Enrich each record with firmographics and recent company news, and check consent and suppression lists before any message is queued.

  3. Draft the follow-up with the LLM using the rep's approved templates and the lead's last conversation; keep each message short and tied to one stated reason to reply.

  4. Send through a sending domain set up for outreach (SPF, DKIM, DMARC), with daily volume caps and a pause on bounces; use a human approval step for the first messages of each new campaign.

  5. Read replies: classify intent (interested, not now, unsubscribe, out of office), book meetings only for interested replies, and hand every other reply to a rep within one business day.

  6. Write every touch and outcome back to the CRM, and review reply rate, meeting rate and unsubscribe rate per campaign each week.

How to automate follow up emails Gmail

Use a Gmail API script or a no-code flow to find threads with no reply after a set number of days, then send the next step from the rep's own account. The Gmail API guides are at developers.google.com. Stop the sequence as soon as the contact replies, or the rep will look careless.

How to automate follow up emails Outlook

Use Microsoft Graph mail endpoints for work accounts (learn.microsoft.com, and set the same stop-on-reply rule. The Outlook.com connector in Power Automate does not support work accounts for new connections, so use the Office 365 Outlook connector instead (learn.microsoft.com.

Power automate follow up email

Build a flow that starts on a row added to a lead list or a CRM stage change, waits the set number of days, checks for a reply, and sends the follow-up. The Power Automate docs are at learn.microsoft.com. Use "Send approval email" only when a person must confirm each message.

AI agent for sales follow up

An agent reads each lead's history, writes a short follow-up tied to the last conversation, and classifies replies so only interested leads reach a rep. Build the guardrails first: approved templates, daily sending caps, and an opt-out check before each send, as set out in the method above.

Pitfalls

  • Deliverability: sending from the main company domain at high volume can hurt the whole domain's reputation. Use a separate outreach domain and warm it up over several weeks.
  • Consent and unsubscribe rules differ by country (GDPR in the EU and UK, CAN-SPAM in the US); honour opt-outs within the time the law allows and keep the suppression list in the CRM.
  • Salesforce's own figures are for its own sales team and do not show revenue; the company says only that dozens of deals closed. Do not promise pipeline results from those numbers.
  • Replies that are not classified correctly (for example, a complaint treated as interest) waste rep time or damage the account; send anything unclear to a human.
