How to automate procurement

An agent that turns purchase requests into supplier quotes, compares them, drafts the purchase order and follows up on delivery. Your buyer chooses the supplier, and a person approves every step that spends money. Below: real examples, the steps to set it up, how it connects to the tools you use, and the pitfalls.

How it is set up

  1. Intake: take purchase requests from a form, a chat channel or an email address, and store the requester, cost centre and need-by date.

  2. Extraction: use an LLM step to turn the request into item, quantity, unit, preferred supplier and budget code, and ask the requester for any missing field.

  3. Checks: match items to the catalogue, check the supplier against the approved vendor list, check the budget and any contract price.

  4. Approval routing: send the request to approvers by amount and category thresholds; the threshold lives in the ERP or procurement system, not in the prompt.

  5. PO creation: create the purchase order in the ERP and send it to the supplier once approved.

  6. Matching: when goods receipt and the supplier invoice arrive, run a three-way match (PO, receipt, invoice) and send mismatches to a buyer.

  7. Reporting: report weekly on PO coverage of spend, approval time and off-contract purchases.

Questions people search for

AI agent for procurement Oracle

Oracle Fusion Cloud Procurement exposes REST APIs for requisitions, purchase orders and suppliers. An agent can turn requests into requisitions and check the catalogue and budget through these endpoints, while approvals stay in Oracle's workflow. Docs

AI sourcing agent

A sourcing agent gathers supplier options, compares quotes against the specification, and drafts RFQ emails. A buyer makes the supplier choice, and each quote is checked against the approved vendor list. Docs

AI procurement tools

Choose by fit: Coupa or SAP Ariba for large enterprises, Odoo or Business Central for small and mid-size firms with a purchase module, plus an LLM intake layer on top. Test one spend category first and compare PO coverage and approval time before rolling out. Docs

Pitfalls

  • An agent that can create and send POs can spend beyond the budget. Teams enforce limits in the ERP and give the agent a role that cannot approve its own requests.
  • Duplicate supplier records split spend and break approval rules. Teams check the vendor master for a match before creating a new supplier.
  • Prices on the PO can drift from the contract. Teams compare each PO line with the contract price and block mismatches.
  • Requests from chat or email can be wrong or vague. Teams require the requester to confirm the parsed item and quantity before a PO is created.
