How to automate payroll
An agent that gathers hours, leave, overtime and changes every pay period, prepares the payroll in your software or spreadsheet, and shows a variance report to a person before any payment is approved. Below: real examples, the steps to set it up, how it connects to the tools you use, and the pitfalls.

How it is set up
-
Pull inputs for the pay period: employee master, time and attendance, leave and bonus records, from the HR system or timekeeping tool.
-
Validate inputs: flag missing bank details, pay rate changes, overtime above a set limit, and employees who are new or leaving mid-period.
-
Calculate gross to net using the tax and deduction rules for the country and state, and compare every employee with the previous period.
-
Human approval: the payroll admin reviews a variance report (new, removed and changed amounts) and approves the pay run. Nothing is released without this step.
-
Submit the approved run to the payroll provider or the bank file, and write the payroll journal to the accounting system.
-
Logging: keep an audit trail of every input change and who approved it, which tax filings and audits need; track variance count and error rate per run.
Rather not build and maintain it yourself?
We build this agent around your own process, connect it to your tools, and keep it working as things change. You approve what matters; every action is logged.

How to automate payroll in Excel
A workbook can compute gross-to-net from a rate table and flag changes against the last period, using Power Query to import timesheets. Tax tables must be updated by hand, which is the main risk. It suits a handful of employees; beyond that use a payroll provider. Docs
How to automate payroll Xero
Xero Payroll runs pay runs, timesheets and payslips itself; enable it and use the Xero API to pull or push employee and pay data. Keep pay-run approval inside Xero. Docs
How to automate payroll QuickBooks
QuickBooks Payroll runs pay on its own schedule. Use the QuickBooks Online API for journal entries and employee data, and keep the payroll approval in QuickBooks. Docs
How to automate payroll Gusto
Gusto has a REST API for employees, time off and payrolls. Use it to pull hours and push new hires, and keep the pay-run approval in Gusto. Docs
How to automate payroll payments
Wages are paid through the payroll provider or a bank batch file. The agent can prepare the batch and the variance report, but a person releases it, and any bank detail change needs a verified call-back. The file format is set by your bank.
Pitfalls
- Tax tables change during the year and an agent running on old tables gives wrong net pay. Teams load rate tables from the provider or a maintained source with a version date and block runs that use an expired version.
- Changed bank details are a fraud route. Teams require a verified change process outside the agent.
- Payroll data is personal and sensitive. Teams limit access by role, mask national IDs in prompts and logs, and keep data in the country where it must be held.
- Overtime and leave rules vary by country and contract. Teams encode them as explicit rules and send edge cases to the admin rather than letting the model decide.
