How to automate inventory management

An agent that reads your stock, sales and open orders every day, warns before an item runs out, and prepares the reorder as a draft purchase order for your buyer to approve. Below: real examples, the steps to set it up, how it connects to the tools you use, and the pitfalls.

Public examples

Mid-market consumer packaged goods manufacturer · company not named, country not stated
Autonomous planning agents combining ERP ledger data with live point-of-sale streams.
Result: stockouts reduced to 5.5%; excess inventory cut by 22%, freeing $530,000 in working capital (the source's own dashboard shows a different excess-inventory figure, so use the narrative sentence with care).

A multi-agent LLM system for inventory decisions.
Result: simulated, not live data; the paper reports higher inventory turnover, lower shipping and holding costs, and lower total cost, with zero stockouts in the simulation.

How it is set up

  1. Data sources: pull on-hand stock by location, open purchase orders, sales orders and POS or e-commerce sales from the ERP or the commerce platform, at least daily.

  2. Forecast: compute demand per SKU and location from recent sales, with a simple baseline first and a model only where the baseline fails.

  3. Replenishment rules: compare forecast cover with supplier lead time and minimum order quantity to propose a reorder quantity and date.

  4. Checks: block proposals that exceed the stock limit or the budget, flag SKUs with unexplained stock differences, and check the count history before trusting a system figure.

  5. Human approval: the buyer reviews proposed purchase orders in a daily list; the agent cannot release an order above a set value.

  6. Write-back and logging: create draft purchase orders in the ERP, log each proposal with the inputs used, and track stockouts, excess stock and forecast error weekly.

Questions people search for

AI agents for warehouse management

Agents work on data the warehouse system already holds: stock by bin, open orders and receipts. They can suggest replenishment, flag count mismatches and draft floor tasks, while the WMS keeps execution. Docs for the common ERP side: www.odoo.com

AI inventory management software

Look for demand forecasting, reorder points, multi-location stock and an API to your ERP or store platform. Vendor claims vary, so test on three months of your own history and compare forecast error with your current method before buying.

Inventory shortages assistant

The assistant compares stock with open orders and supplier lead times, then alerts a buyer with a suggested action such as expediting, substituting or reallocating stock. Start with a daily report and add automatic alerts only after the buyer trusts the suggestions. Docs

Pitfalls

  • Stock counts in the system drift from the shelf. Teams schedule cycle counts for high-value SKUs and treat a large gap as a reason to pause orders for that SKU.
  • Forecasts built on sales alone miss stockouts, because lost sales are not recorded. Teams add stock-out flags and do not treat zero sales as zero demand.
  • Lead times change and the agent keeps the old figure. Teams update lead times from receipt history and show their age in the proposal.
  • An agent that orders automatically can overbuy in a bad week. Teams cap automatic order value and keep a buyer approval on anything above it.
