How to automate work in your ERP

An agent that works inside your ERP the way a careful clerk does: it enters orders and bills as drafts, checks them against your master data, chases missing information and answers questions about orders and stock. Below: real examples, the steps to set it up, how it connects to the tools you use, and the pitfalls.

Public examples

Built by other companies and vendors, with figures exactly as their sources publish them. They are not our clients; follow each source for the full story.

Deppeler SA · dental instrument distributor, Switzerland
An assistant reads orders received as PDF or Excel by email, applies discount and shipping rules and enters the order into Odoo ERP.
Result: processing time reduced by 70%; errors reduced by 95%.

SmartTek client · Odoo user, company not named
AI agents used for a product master-data clean-up of about 15,000 products in Odoo.
Result: the page says a client's roughly three-hour task "now" takes minutes; no before and after figure is given for the clean-up itself.

How it is set up

  1. Choose one ERP object and one workflow (sales orders, vendor bills, product master data). Export a sample of real records, including the messy ones, before any build.

  2. Read the inbound source (email attachment, portal, EDI file) and extract the fields into the ERP's schema with an LLM or a parser. Keep the source page for each value.

  3. Look up each value in the ERP through its API (customer, product, tax code, price list). Records with no match go to a review queue rather than creating new master data.

  4. Apply business rules (discounts, credit limits, shipping method) in code, not in the prompt, and log every rule applied.

  5. Create the draft record in the ERP, not the confirmed one, so a finance or sales user confirms it. Store the external reference to prevent duplicates on retry.

  6. Monitor the reject rate, the number of manual edits per record and the time from receipt to confirmation, and review them each month.

Questions people search for

AI agent for ERPNext

ERPNext (Frappe framework) exposes a REST API for every doctype, using API keys or OAuth (frappeframework.com. The agent reads and creates records through that API, starting with drafts such as sales invoices or purchase orders. Create a dedicated integration user with rights only to the doctypes in scope.

AI agent for Oracle ERP

Oracle Fusion Cloud ERP exposes REST services for suppliers, invoices and purchase orders (docs.oracle.com. Use an integration user with OAuth, and create records in an unapproved state so a finance user confirms them. Check the exact resource names in your instance's REST documentation, because they differ by module and version.

AI ERP software

Several ERP vendors now include AI features for document capture and assistants. Compare them on three points: which objects the agent can write to, whether writes are drafts or final postings, and what the audit log records. Ask the vendor for the API documentation before you buy.

ERP automation

Automate the entry and matching steps first: invoices to purchase orders, customer and product matching, order entry from email or PDF. Keep posting and closing steps under a human approval. Measure the reject rate and the manual edits per record for the first two months.

Pitfalls

  • Duplicate master data (the same customer or product created twice). Teams match on tax ID or SKU before any create call and send unmatched records to review.
  • Posting to the ledger with no human check. Teams keep draft or unconfirmed status for the agent's records and limit confirm rights to named users.
  • Vendor claims on ERP savings with no baseline. Teams time the current process for two weeks before they start.
  • Credentials with full admin rights. Teams create a dedicated integration user with rights only to the objects in scope.
